3 Wedding Reception Mistakes You’ll want to Avoid

Our list of the 3 wedding reception mistakes you’ll want to avoid will prevent problems that could  ruin your long anticipated wedding reception. As a wedding professional we work with weddings quite often supplying wedding tents, tables chairs and other wedding rentals. During our experience at a variety of weddings, we have come to see there are some things that can really create a problem during the wedding or at the reception. Here are 3 wedding reception mistakes you’ll want to avoid:

  1. Keep everyone on the same page. This problem actually occurred at my own wedding and I include it here because things like this happen so often at weddings. It’s true you can’t have a perfect wedding but you can do your best to go over things often enough that you avoid what happened to me. I got married by a Catholic Priest in a Catholic church. We originally scheduled the wedding for the evening but in the midst of things decided to change the wedding to the afternoon. The invitations were sent out and all was going well or so I thought. I arrived at the small church and to my surprise I found out that Father John hadn’t gotten the time change message. Luckily he lived on the grounds and happened to be home. This held up our wedding by about 45 minuets.   If you are planning a wedding and wedding reception, make sure you keep everyone aware of any time changes or other changes. Communication is key and keeping track of who does what helps too.
  2. Don’t underestimate how much time it takes to take pictures and introduce the wedding party. As a party tent rental company, we are usually long gone by the time the wedding reception starts. But over the years, we have watched a few wedding receptions that have left the guests waiting too long. Your guests are excited about the wedding and seeing the two of you tie the knot. They also are interested in getting the reception underway. If you have a lot of pictures you want to take, consider having them taken before the wedding or during the rehearsal. This cuts down on the time you leave your guests waiting for you to arrive at the reception. A cocktail hour can help but only for so long. The time will drag on for what seems like hours if your guests have no food, drink or entertainment. This is one of the 3 wedding reception mistakes you’ll want to avoid.
  3. Make sure you have entertainment. Whether you have music and allow dancing is up to you. Most outdoor wedding receptions go over nicely if you rent a dance floor or have something for the guest to do. This might mean spending extra on a live band instead of having a DJ if there is going to be no dancing. Duck Dynasty’s outdoor wedding was a spectacular event according to the remarks made by John Luke Robertson and Mary Kate McEacharn who married on Saturday June 27th. The beautiful wedding was held on the Robertson’s family farm in West Monroe, LA.

The Courtship

John Luke Robertson met Mary Kate McEacharn in 2010 at a Christian summer camp. They began dating back in 2013. After a few years courtship, they got engaged on his 19th birthday in 2014. He was reported to say he hoped to have a marriage similar to his own parents.

Mary Kate stopped attending classes at Louisiana Tech to begin planning for the wedding. She had a wedding planner to help with the occasion. You can’t even begin to think about being your own DJ if you don’t have the right equipment. You will need a good sound system and a good MP3 player or IPOD. How Big Should My Dance Floor Be For My Wedding?

dance floorOur event planners can help you choose how big your wedding dance floor needs to be.   As a rule of thumb, you can assume 40% of your party will be dancing at any given time. There are a few things to consider when choosing a dance floor size.

Who Will Be Dancing?

If you’re wedding guests are mostly elderly and low key, you can expect not very many people will be dancing. If they are a younger crowd, then you can expect just the opposite. We have found for most weddings you can go with the 40% rule and it works great!

How Much Room Does Each Dancing Couple Need

The industry standard suggests that each couple will need 9 sq ft per couple (that’s over 4.5 ft per person).   Example: Let’s assume a party has 200 guests. 40%, or 80 guests, will be dancing at any one time. This means that you would need approximately 360 square feet of dance floor for this party, or a 16×20 dance floor.

If you figure 40 of 100 guests will dance, then you need about a 200 square foot dance floor. If you double that for 200 guests you would need a 400 square foot dance floor. So again you have to consider other factors like the age of your guests and how many people you really think will be dancing at one time.

Deciding to Have an Outdoor Country Wedding

If you’re planning an outdoor country wedding with tent, you are most likely having a DIY wedding. Don’t let that overwhelm you.  You can make the most of your day and the more you talk with event planners and vendors, the more relaxed you’ll feel. There are lots of clever ways to make your day spectacular without spending a fortune and there are a lot of ways to make an outdoor country wedding enchanting. Many people opt for an outdoor country wedding because that reflects who they are more than a traditional church wedding or a wedding at a reception hall.  Remember this is your day, and it’s all about YOU!

Date and Location

Picking where you want to have your outdoor wedding early allows you to set the date. Pick a date that works well with the important people you want at your wedding: Parents, grandparents and close friends and family. 2 to 3 Months Before the Wedding

Purchase wedding party gifts and plan the rehearsal dinner. Check requirements for marriage licenses in your state and make sure you have a plan to obtain yours. Your big day should be a reflection of your personality! If you’re a fun-loving gal like me, you’ll want you wedding to be exciting and unique. I tied the knot on June 14th of this year and it was truly a day to remember. We had guests for months telling us it was “the best wedding they’ve ever been to”. As much as I’d like to toot my own horn, I had lots of help from Pinterest, friends, family and our awesome vendors *cough* Advantage Tent & Party Rental *cough*. Today, I’m breaking out the binder I used to plan my wedding and share our fun tips and tricks!

1. Morning-Of Mimosas

Need I explain this one? Before my morning mimosa, I was feeling stressed and super nervous. After, I was feeling calm, giggly and slightly sentimental. Much better.

2. Dancing Down The Aisle

Okay, so I may have ripped this idea from the TV show The Office, from the episode where Jim and Pam get married. But it was a BLAST! We danced to “Forever” by Chris Brown. Everyone was laughing, guests and bridal party, which kept the mood light. If I took the slow walk down the aisle with traditional music, I would’ve been crying my eyes out!

3. Outdoor Tent Reception

weddingWe held our reception outside in a tent. It was absolutely gorgeous! Best investment we made in our wedding by far. Advantage Tent & Party Rentals did our tent, tables, chairs, linens and lighting. All we had to do was throw some flowers on the table and call it a night!

4. Play The Shoe Game

We played the Shoe Game at our wedding (compliments of Pinterest). To play the game, my husband and I swapped shoes, so that he was holding one of my TOM’s and I was holding one of his shoes. My sister asked us questions such as, “Who is the better driver?” and “Who is grumpier in the mornings?” and my husband and I would hold up the appropriate shoe. This game was a RIOT. All of our guests were standing around, cracking up, ooing and ahhing and even chiming in. It was a great way to get everyone involved and set a fun tone for the rest of the evening.

5. Dance The Night Away!

This was arguably the best part of the night. My husband and I got the dance floor going and danced with our guests all night! We had heard horror stories of couples who barely saw each other on their wedding night because they got separated talking to different sides of their families all night. We wanted to enjoy our own party and do it together! We stayed on the dance floor all night. It was a great way to get people dancing. If our guests wanted to talk to us, they had to put their dancing shoes on and get out there. Both mine and my husband’s grandma’s ended up breaking it down on the dance floor! Yes, it involved lots of robots, disco fingers and booty shaking and yes, we were all embarrassed the next day, but hey, that’s what weddings are for 🙂

Wedding tent rentals in Northern Kentucky is a great way to plan an outdoor wedding. I had the privilege of attending my niece’s wedding in Union Kentucky this past weekend. My niece ordered many tables and chairs. She was able to get different size tables for different things. The wedding party table was horseshoe shaped and set in front of the dance floor. The linens came pressed and in plastic with directions about which table they belonged with. There were even linen tablecloths to hide the legs of the bar area and other service tables. Pole Tents Versus Frame Tents

Our customers often ask what the difference is between pole tents versus frame tents. The following is a brief overview of the difference between a pole tent and a frame tent.

Pole Tents

A pole tent is generally designed to be used on ground or grassy areas. A pole tent uses stakes driven into the ground and ties attached to them in order to support the tent. It is usually not possible to put up a pole tent on a hard surface such as concrete. ( unless the stakes can be driven into the concrete surface.

Usually a pole tent has at least 1 pole in the center as the main support. Some people like to decorate the center pole in a tent as centerpiece, using flowers, vines, various plants or fabric. Yet other people find the center tent pole a nuisance, as it blocks the view or just gets in the way.

Many people enjoy the appearance of a pole tent, and like the way it looks from the outside. The overall shape of the tent has graceful curves, dips and peaks, without any metal pipes showing on the inside.

Frame Tents

A frame tent, on the other hand, is usually free standing, and can be located on any surface including; asphalt, a deck, concrete or grass as well. Since a frame tent does not have any poles inside of the tent, one does not have to worry about trying to work around the poles in the tent.

One drawback in regard to the frame tent is that it is usually a bit more pricey to rent than a pole tent, due to the labor involved in setting up the tent, as well as the cost of actually purchasing the tent.
